Getting Started
This guide walks a daycare administrator through setting up Minispace, from the first sign-in to the first message to parents.
Allow about an hour for steps 1 to 6, which are enough to run the daycare day to day.
Step 1 — First sign-in
Your daycare's address follows this format:
https://your-daycare-name.minispace.app
You received your credentials by email. When signing in:
- Enter your email and password
- Enter the 6-digit code sent to your email
Trusted device
After verification, this device is remembered for 90 days: you won't be asked for the code again on it during that period. On a new device, or after clearing your cookies, the code comes back.
Code didn't arrive?
Check your spam folder, and mark the message as legitimate — otherwise the next ones will land there too. Verification codes, password resets and invitations are always sent, whatever your notification settings.
Step 2 — Change your password
Change the temporary password on your first sign-in.
- Open My profile in the left menu
- Change password section
- Enter the current password, then the new one twice (8 characters minimum)
- Update
Note
Changing your password or email signs you out. Sign back in with the new credentials.
Step 3 — Upload the daycare logo
The logo appears in the app and in emails sent to parents — including the daily journal.

- Upload and pick the file
PNG, JPG, WebP or GIF, 5 MB maximum. A square image of at least 200 × 200 px works best.
Step 4 — Create groups
Groups organize children, target communications, and above all determine what each educator can see.
- Groups in the left menu
- Create group
- Name, description and color
- Save changes
Step 5 — Add children
Two ways, depending on how many children you have.
One at a time
- Children → Add
- First name, last name, birth date, group
- Save
By file, for a whole daycare
From My profile, in the import section:
- Download the CSV template to see the expected columns
- Fill it in, or prepare an
.xlsxfile - Upload it
The import creates missing groups, adds the children, registers pending parents and sends invitations. A report shows what was created and which rows were skipped, with the reason.
Step 6 — Assign educators to groups
The most commonly missed step
An educator with no assigned group sees nothing: no children, no groups, no conversations, no photos. Their screen is empty and they see the banner "No group is assigned to you".
This is not a failure, it is privacy protection: an educator only has access to the children they care for.
- Groups → Edit group on the group in question

- Save changes
An educator can be assigned to several groups. Repeat this for every new hire and every room change.
Step 7 — Invite parents
Open a child's record (Children → select the child → Profil tab), Associated parents section. Three mechanisms, depending on the situation:

| The parent has no account | Add by email | Becomes a pending parent: they receive the journals by email immediately, and their account will attach to the child as soon as they register |
| An invitation was already sent to them | Link invitation | Attaches the existing invitation to this child |
Specify the relationship: Parent, Legal guardian, Caretaker or Other.
Tip
Add by email is the most useful at the start of the year: parents start receiving their child's journal without doing anything, and their account falls into place on its own when they register.
Step 8 — Invite your team
- Users → Invite a user
- Email address and role:
- Educator — journals, attendance, photos, documents, menus and messages, limited to their groups
- Daycare admin — full access, including users and billing
- Send invitation
The invitation arrives by email with an account-creation link. Unused invitations appear under Pending invitations, where you can resend or delete them.
After inviting an educator, go back to step 6 to assign their groups.
Step 9 — Set the journal send time
Daily journals are sent to parents automatically every weekday. Choose the time:
- My profile → Automatic journal send
- Auto-send time
The default is 4:30 p.m. The send happens once a day and skips weekends. There is no manual send button: what an educator writes during the day goes out that same evening.
Step 10 — Send your first message
- Messages
- Choose All parents for a daycare-wide announcement, or New conversation to write to a group or to one child's family
- Write and send
Parents receive it instantly in the app, and as a notification if they enabled them.
Note
The All parents thread is reserved for administrators. Educators can read it but not write in it.
